Dear Dr Woods,

We would like to introduce the following protocol to you regarding an upcoming study that we will be running at our research site in Shanghai. 

The study requires X number of subjects, suffering from X disease. The research period is planned to be X months, with a start date of ___ (date), and it is a requirement that we meet with the patients prior to this start date, which we will of course notify you of in advance. 

Approval from the ethics committee is currently pending, however it is expected to be approved in the coming weeks.
