Vocabulary

Schedule (n/v): 1- a list of planned activities or things to be done showing the times or dates when they are intended to happen or be done. 2- a list of the times when events are planned to happen, for example the times when classes happen or when buses, etc. leave and arrive. 3- to arrange that an event or activity will happen at a particular time:
E.g.: Everything went according to schedule (= as had been planned).
E.g.: The class schedule is available on the website.
E.g.: The meeting has been scheduled for tomorrow afternoon.

Agenda (n): 1- a list of matters to be discussed at a meeting. 2- a list of aims or possible future achievements. 3- a secret aim or reason for doing something.
E.g.: There were several important items on the agenda.
E.g.: Women’s rights have been put back on the agenda (= are being discussed publicly again).
E.g.: She felt that some of the group had an agenda.

Booking a Flight for your boss:

  • Dear Sir, I’m currently looking at tickets for your trip to Beijing. Do you have time now for us to discuss it?
  • Dear Sir, about your trip to America, what would the best dates be for you?
  • Dear Mr X, the flight you wanted to take is fully booked. What would your second choice be?
  • Dear Mr X, tickets were sold out and I wasn’t able to book your flight to America on the dates you had asked me to. Can I book them on the following day?
  • Dear Sir, I’ve noticed that ticket prices are a lot lower on the XX of May. Would you like me to book those dates instead?

Scheduling a meeting?

  • If possible, Mr XX would like to come and see you (tomorrow).
  • Do you think we could make an appointment [next week]?
  • Do you mind if we schedule a meeting tomorrow?
  • Could Mr X visit you [later today]?
  • Could we schedule a meeting so you can talk about this?
  • Is there a good time for you to get together with Mr X [on Monday]?

Suggesting an alternative time/date:

  • How about next Friday, instead?
  • Sorry, Mr X is busy on Monday. Could we reschedule it?

Agreeing to a  time and date:

  • That’s fine. I’ll see you then.
  • That sounds fine/good/great/super to me.

Receiving a call:

  • Ferrero, Chuyi speaking. How can I help you?
  • Good morning from Ferrero. Chuyi speaking.
  • Can I get your name, please?
  • What can I do for you?
  • What is it about?
  • Is he expecting your call?
  • Please stay on the line. I will check if Mr X is available.

Transferring / not transferring a call:

  • Mr X, Mr Z from Company X is on the line. Should I transfer the call?
  • Mr X, Mr Z is on the line. Are you available.
  • (in case your boss doesn’t want to talk to the person) Unfortunately we are not looking for this kind of service right now. You can give me your number and I’ll contact you in case we do.
  • I’m sorry, Mr X is not available at the moment. He asked me to get your number and he will call you at an appropriate time.
