Speaking exercise

I am now working in the fashion industry and we took over a new project so I need to communicate with foreigners so I want someone to help improve my spoken English / English speaking.
I used to work for MK and now in Versace in the logistics department.
I am mainly responsible for imports / I manage the imports from Italy.
I arrange the inbound receiving and after the warehouse receives the goods I need to coordinate with the merchandising team.
I am managing 3 to 4 suppliers for warehouses, local transportation and international forwarding.
I have to spend much time understanding what they say.
mostly emails and conference calls when we have problems
I have to frequently communicate with them because of the new project.
They will have an accent/ they have a strong/thick accent
If I don’t listen for a second I cannot catch them / If I lose attention I will feel lost
The HQ is in America and I have calls with them twice a month.
I have to report to them.

I cannot express well what I want to say. I will say a lot of words to describe something / I cannot go straight to the point 

I cannot find the accurate words
I have gained a lot of English certifications but some of them cannot be used in the daily communication. / it doesn’t help me at work.

I know the words in an email but when someone says it I can’t recognize it
the priority is to practice more and I am a little shy.

Before the meeting starts they will have a warm up / chit chat and I don’t know how to join
They will ask how was your week end

Writing exercise

basic first email structure:

  • greeting (Hi John , Dear Mr Smith)
  • a compliment or icebreaker (I hope this email finds you well, I hope you had a nice week end, I hope you had a nice holiday)
  • the reason for your email (I am writing to you about …. / I am emailing you regarding ….)
  • a call to action (Could you please …. / would you mind …. / please …./ I would appreciate if you could ….?)
  • a closing message ( I am looking forward to hearing from you / have a nice day (casual) / Thank you in advance
  • signature (best regards, ….)
